Let’s Begin

If you are here, it means you were invited to an event organized by a Host (“Host”) who chose to use the Event Hub powered by Planta for their Event, to facilitate remarkable lasting connections at their gathering (the “Event”).

Please read this Privacy Policy (“Policy”) before using the Event Hub powered by Planta. This Policy applies to the relationship between you as a participant of the Event and Planta.

By accessing or using the service, you agree to be bound by this Policy.

The legal relationship between the Host and Planta is governed by a separate agreement.

Any reference to the Event Hub Terms of Service is made through the “Terms”.

What Is a Privacy Policy and What Will You Find Here?

A privacy policy is a document that explains how a company handles the personal information of the people who use its products. It’s required by law in most countries, and it’s your right to know what happens with your data.

In this Policy, you’ll find:

  • What data We collect — what information Planta through the Event Hub gathers about you, and where it comes from
  • Why We use it — the purposes behind the processing
  • Who else sees it — which third parties receive your data and why
  • How long We keep it — when your data is deleted and what sticks around
  • What you can do about it — your rights, how to opt out, and how to delete it

We’ve tried to write this in plain language. Where a legal term is unavoidable, We explain it. If something isn’t clear, ask us — privacy@planta.network

1. What is Planta?

Planta (“Planta”, “We”, or “Planta Network”) is a discreet and relational network that proactively surfaces (re)connection opportunities that lead to impact at events and enjoying time in real life with people you care about.

2. What is Event Hub powered by Planta?

The Event Hub, powered by Planta, is a highly customized experience We design together with the Host for the Event.

Important: Planta does not manage or control any event or the Event. The Host is solely responsible for all aspects of the Event, including but not limited to its organization, logistics, venue, safety, content, cancellations, and any conduct or decisions by the Host, its staff, sponsors, or other participants. Planta is not a party to the relationship between you and the Host, and assumes no liability for any Event-related matter.

3. Who is responsible for your data when you attend an Event Hub powered by Planta?

The Host is responsible for personal data processed in connection with the Event — including your registration information, enrichment data assembled by Planta, AI-generated suggestions and reasoning, and information you submit through the Event Hub (under GDPR or similar applicable frameworks, Host should be considered a Controller). Planta delivers the technology on the Host’s behalf (under GDPR or similar applicable frameworks, Planta should be considered a Processor).

The Host is solely responsible for ensuring that you have been properly informed and that all required consents and authorizations for processing your data have been obtained in accordance with applicable privacy laws.

Planta keeps a small amount of data independently (under GDPR or similar applicable frameworks, a Controller):

  • Connection patterns: aggregated insights about how connections work across events — not tied to you individually.
  • Platform usage data: session logs and interaction signals used for internal analytics — not tied to you individually.
  • Deduplication records: your name, email, LinkedIn URL, and WhatsApp number, kept only to avoid creating duplicate Profiles — and only if you have already joined Planta as a member and have an account with us.

4. Data We Collect and How We Get It

4.1 From the Host

The Host shares your Event registration data with us through the List they shared (as defined in the Terms). This may come directly from the Host, or through external systems the Host uses — such as registration and ticketing platforms, CRM tools, or marketing automation software that the Host has connected to Planta to enable the Event Hub. The data typically includes: full name, email address, phone number, job title, company name, LinkedIn profile URL, short bio (if provided), RSVP status, and responses to Event questionnaire fields, among others.

The Host can also share additional relevant inputs to deliver a better Event Hub experience, including strategic information and intelligence from past events, among others.

The Host is responsible for collecting and sharing all of this data.

4.2 From third-party enrichment providers

Using the registration data the Host shared with us, Planta enriches your Dossier (as defined in the Event Hub Terms of Service) through third-party providers. This enrichment may include publicly available professional information, professional network data, and company context.

4.3 From you directly

We collect information you provide through the Event Hub, including:

  • Conversations with your AI Relationship Agent (as described in the Event Hub Terms of Service), including text and voice interactions. When you initiate a voice conversation, you are consenting to the processing and storage of the resulting conversation data.
  • Updates to your Profile and preferences, such as contact details and communication channel selections.
  • Your activity at the Event Hub, such as browsing the Directory, requesting or accepting connections, and messages you include in connection requests.

All data collected from you is processed by Planta on the Host’s behalf and added to your Event Hub Dossier.

4.4 Automatically (platform usage)

When you use the Event Hub platform, We automatically collect technical and usage data on the Host’s behalf to operate, secure, and improve the experience — such as your IP address, browser and device information, pages and features accessed, session activity, referring URLs, and approximate location derived from your IP address.

Before activating any cookie or tracking technology that is not strictly necessary for the platform, We will request your prior consent on the Host’s behalf. Declining non-essential tracking does not affect your access to core services.

4.5 When you contact us

If your inquiry relates to your rights as a data subject (such as access, correction, or deletion requests), We will process it in coordination with the Host as the controller of your data. You may also contact the Host directly.

For general inquiries — if you reach out to us by email, phone, chat, or any other channel in connection with your Event Hub experience — We collect whatever you share in that conversation (your name, contact details, and the content of your message). We process this data on the Host’s behalf to respond to your inquiry, troubleshoot issues, and improve support for the Event Hub. We may share this information with third-party sub-processors that help us manage customer communications.

If you call us and We record the call, We will let you know and ask for your consent before recording begins.

4.6 From other Event participants

We may receive information about you if another participant adds you to a meeting, sends you a connection request, connects with you, or mentions you in their preferences. This information is part of that participant’s Dossier and activity — it is visible only to them.

4.7 Data Reuse by the Host Across Events

The Host, as the controller, may reuse your data for future Events organized by the same Host. This reuse is governed by the Host’s own privacy practices. For the scope of what the Host sees and does not see, see Section 5.

See Section 5.3.

5. How We Use Your Data

Your Dossier. Your Event Hub Dossier (as defined in the Event Hub Terms of Service) contains your complete history with the Event Hub in full detail, and with Planta if you already have an account with us. All data described in Section 4 feeds into your Dossier.

Your Profile. From your Dossier, We generate your professional Profile. Your Profile is the curated, simplified version of your Dossier that is visible to other participants. We combine registration data, third-party enrichment, what you tell your AI Relationship Agent, and any Profile update you make, plus anything other relevant data point of the Dossier, to build and maintain it.

Connection opportunities. When enabled, We analyze your Dossier and/or Profile and your interactions with Planta to suggest people you may want to meet, and generate personalized Why Connect reasoning to help you understand why a connection might be valuable, including with each participant of the Directory.

Directory. When available, we make participant Profiles available in the Event Directory so you can browse who’s attending and explore additional connections.

Event facilitation. We provide the Host with support in the design of the Event experience, a dashboard with Event activity and connection insights, and when available, facilitation support and feedback from the Event the AI Relationship Agent collects.

Analytics. We may use data collected through the platform and website to understand how people interact with the Event Hub.

Security and compliance. We use your data to protect the platform against fraud and abuse, verify your identity when you exercise your rights, meet our legal obligations, and resolve disputes.

For resolving any inquiry, request, or data subject right you may exercise, We collect your data as detailed in Section 4, to be able to process your request and comply with our Terms.

These purposes reflect the Event Hub’s current capabilities and will evolve as the platform develops. Planta is an early-stage company actively developing the Event Hub — some features described in this Policy may not yet be available or may change as the product matures. Any new purpose materially outside this scope will be disclosed before it is activated.

6. Who We Share Your Data With

Core privacy principle. Across all sharing described in this section — whether with the Host, or other participants — the same rule applies: recipients only receive simplified, curated outputs generated by Planta. No one ever sees your Dossier, including private conversations with your AI Relationship Agent, your self-reported context, your intake responses, or any sensitive information you share through the Event Hub. This principle applies regardless of the recipient, the context, or across how many Events.

This does not apply to service providers we use to deliver the Event Hub.

6.1 Other Participants

Your professional Profile is visible in the Event Directory — including your name, job title, company, and Profile summary. Contact details (such as email and phone number) are shared only after both parties accept a connection, except as otherwise settled with the Host. You choose how you want to be contacted.

The other participant will also see personalized Why Connect reasons to connect with you.

Participants who have not yet engaged with the Event Hub are still included in the Event Directory while it is active, using the professional profile Planta assembled at invitation.

6.2 The Host

Through the Host dashboard. The Host receives simplified insights about Event activity and connections through the Event Hub dashboard. When available, the Host may also access connection insights, facilitation data, and feedback you provide about the Event — always in simplified form.

Event facilitation. Planta may also support the Host in the design of the Event experience, administering connection inputs, and managing Event logistics, among others. These actions shape Event facilitation but do not change the privacy boundary described above.

Across Events by the same Host. The Host, as the controller of your Event data, may reuse your data for future Events organized by the same Host — subject to the same privacy boundaries. Even across Events, the Host only accesses simplified outputs. The Host’s reuse of your data is governed by the Host’s own privacy practices.

Your data is never shared by Planta with any Host other than the one organizing the Event for which it was collected. If you join Planta (see Section 7 of the Event Hub Terms of Service), the Planta Terms of Service and Planta Privacy Policy apply from that moment.

6.3 If You Are Already Part of Planta

When available, and when agreed with the Host as part of the Event Hub service arrangement, Planta may use data from existing participants who already have an account with Planta to enrich the Event Hub experience.

If you have already joined Planta and you attend an Event Hub Event, Planta may use your existing Dossier to generate better connection opportunities for you at the Event. The Host does not receive, see, or have access to your prior record, your private conversations with your AI Agent, or any self-reported context from previous Events. The Host only receives the simplified outputs generated for their Event.

What other participants see. Your Profile in the Event Directory or within the Connection Opportunities reflects the outputs generated for that Event. Other participants do not see your Planta relationship history, prior Event data, or any other context in your Dossier, beyond what is generated for the current Event.

Opt-out. You can request that Planta stop using your prior history at any time by contacting privacy@planta.network. When available, self-service options will also be offered. This does not affect your existing Planta account or your Profile at Events where you have already engaged.

6.4 Service Providers

Enrichment: Relevant data points are sent to third-party providers to retrieve professional and company context.

AI processing: Your data is processed by third-party AI providers to deliver the Event Hub experience.

Messaging: Your phone number and message content are processed by messaging infrastructure providers, such as WhatsApp, to deliver messages and emails. We may use additional or different platforms.

Support: When you contact us (see Section 4.5), your inquiry and contact details may be shared with third-party sub-processors that help us manage customer communications, support tickets, and call recording.

Storage and infrastructure: Your data is stored in cloud infrastructure including database, file storage, and caching layers. All storage providers are engaged under data processing agreements.

Monitoring and performance: We may share technical and usage data with service providers on the Host’s behalf to monitor platform performance, diagnose issues, and analyze user sessions in connection with the Event Hub experience.

Analytics and product intelligence: We may share usage data with third-party analytics providers on the Host’s behalf to understand how participants use the Event Hub, measure engagement, track feature adoption, and improve the Event experience. This data may be identifiable, aggregated, or anonymized depending on the tool and purpose. The Host, as the data controller, determines the scope and purposes of this processing.

6.5 Legal Disclosure

Planta may share your information if, in good faith, We consider it reasonably necessary to: (a) respond, under applicable law or regulations, to legal process or government requests; (b) enforce this Policy, the Terms, and other applicable terms and policies, including to investigate potential violations; (c) detect, investigate, prevent, or address fraud and other illegal activity, or technical or security issues; or (d) protect the rights, property, and safety of participants, Planta, or others.

6.6 Business Transfers

If We enter into a merger, acquisition, or sale, your data may be shared with the relevant parties to the extent necessary to complete the transaction. We may also share your information with an affiliate of Planta.

7. Legal Basis for Processing

7.1 Processing on the Host’s Behalf

All personal data processed through the Event Hub is processed by Planta on the Host’s behalf, in accordance with the agreements executed between Planta and the Host. The Host is responsible for ensuring that a valid legal basis exists under applicable law for each processing activity. If you have questions about the legal basis the Host relies on, contact the Host directly.

7.2 Planta as Independent Controller

As described in Section 3, Planta independently controls a limited set of data derived from the Event Hub. The legal basis for each is as follows:

Connection patterns. Aggregated insights about how connections form across events — such as which types of suggestions lead to accepted connections or meetings. This data is not tied to you individually.

Legal basis: Legitimate interest — improving Planta’s matching and facilitation systems. Because this data is aggregated and not individually identifiable, the impact on your privacy is minimal while the benefit to all participants is significant.

Platform usage data. Aggregated session logs and interaction signals — such as understanding which features are most used and how participants navigate the Event Hub. This data is not tied to you individually.

Legal basis: Legitimate interest — product improvement and platform reliability. Because this data is aggregated and not individually identifiable, the impact on your privacy is minimal.

Deduplication records. Your name, email, LinkedIn URL, and WhatsApp number, retained only to avoid creating duplicate Profiles if you appear at future Event Hub Events or join Planta. These records are kept only if you have already joined Planta before.

Legal basis: Legitimate interest — maintaining data integrity across the platform and preventing duplicate Profiles that would degrade the experience for you and other participants. Only minimal identifiers are retained, and only for existing Planta members.

7.3 Cross-Event Profile Use If You Are Already Part of Planta

When available, and when agreed with the Host as part of the Event Hub arrangement, Planta may use data from your existing Planta Dossier to generate better connection opportunities and experience for you at a new Event Hub Event (see Sections 4.8 and 5.3).

Legal basis: Consent. This cross-event use is based on your consent when you joined Planta. You can request that Planta stop using your prior history at any time by contacting privacy@planta.network or, when available, through self-service options. This does not affect the lawfulness of processing carried out before your request, nor does it affect your existing Planta account or your Profile at Events where you have already engaged.

The Host does not receive, see, or have access to your prior data. The Host only receives the simplified outputs generated for their Event.

8. Data Retention

8.1 Event-Related Data

Event-related data is held by Planta on the Host’s behalf for the duration of the Host’s account, as agreed in the applicable agreement between Planta and the Host. When the Host’s account terminates or the Host requests deletion, Planta deletes the data in accordance with that agreement. Planta may retain an archived backup for a limited period for operational recovery and legal evidence purposes, after which it is permanently deleted.

8.2 Planta’s Independently Retained Data

The following data is retained by Planta as an independent controller indefinitely, separate from the Host’s Event data:

Connection patterns. As this data is not tied to you individually, deletion requests do not apply to it.

Platform usage data. As this data is not tied to you individually, deletion requests do not apply to it.

Deduplication records. Your name, email, LinkedIn URL, and WhatsApp number. Retained solely for participants who, at the time of Event Hub closing, have an account at Planta before or have joined Planta within the Event Hub experience. These records are retained only to prevent duplicate records and are deleted if your Planta account ends and you have no further engagement with Planta.

8.3 Your Event Hub Dossier When You Join Planta or are already member of Planta

If you join Planta (see Section 7.1 of the Event Hub Terms of Service), your Event Hub Dossier travels with you into Planta and becomes part of your Planta account. From that moment, retention of your Dossier is governed by the Planta Privacy Policy.

If you are already a Planta member, the Event-specific data Planta generated for this Event — including your Profile, connection history, and any insights produced during the Event — can be transferred to your Planta Dossier, if you choose to (see Section 7.2 of the Event Hub Terms of Service). You can request that Planta stop using your prior history at any time; this does not delete your Planta Dossier — it remains available for you.

9. Your Data Rights

For Event-related data, contact the Host. You may also contact privacy@planta.network and We will forward your request.

For data Planta controls independently, and — if you decide to join Planta— your Planta account, refer to the Planta Privacy Policy.

Planta will cooperate with the Host to complete any action required no later than 15 days for Brazilian residents and 30 days for all others.

10. Security

We implement technical and organizational security measures appropriate to our stage of development, including encrypted connections (HTTPS/TLS), encrypted storage, and role-based access controls.

No internet system is completely secure. Use of the platform constitutes acceptance that some residual risk exists.

In the event of a confirmed security breach affecting your data, We will notify you and relevant authorities without undue delay and in any case no later than 72 hours after becoming aware of the breach.

11. Model Training

Planta does not use your personal information to train or fine-tune any AI model in the context of the Event Hub.

12. AI

The Event Hub is powered by AI throughout the experience.

Your options: You can edit your Profile at any time. You may accept or ignore any connection suggestion. You may request human review of any AI-generated output by contacting privacy@planta.network.

AI providers. We use third-party AI providers to deliver AI features. Each provider operates under its own terms, privacy policies, and data retention practices.

Human oversight. Planta maintains a level of human supervision over AI-generated outputs to help assure the quality of connections and facilitation support. Planta’s team may review, adjust, or override AI-generated outputs in certain cases as part of supporting the design and delivery of the Event experience. If you believe an AI-generated output has had a significant effect on you, contact privacy@planta.network and We will review your case with human involvement.

Voice. When available, interactions with your AI Relationship Agent may include voice calls. By initiating a voice interaction, you consent to the processing and storage of the resulting conversation data.

13. Children & Legal Capacity

You must be at least 18 years old and have the legal capacity to enter into a binding agreement in your jurisdiction. By accepting this Policy, you confirm that both conditions are met. If We learn a user is under 18, We will delete their data and terminate their access promptly. If you believe a minor has used the platform, notify us at privacy@planta.network.

14. Website Visitors

If you visit planta.network separately from the Event Hub, a different privacy policy applies. Planta is the controller of its own website. For details on how We handle data collected through planta.network — including cookies, analytics, and marketing — refer to the Planta Privacy Policy.

15. Governing Law and Disputes

This Policy is governed by the laws of the State of Delaware, United States, as well as other applicable privacy laws where you are located. If you are in a jurisdiction with mandatory consumer or data protection laws, those laws apply and are not displaced by this clause. You may contact your local authority too.

For dispute resolution procedures, including good-faith resolution, jurisdiction, and class action waiver, see the Event Hub Terms.

16. Changes to This Policy

We may amend this Policy from time to time. If We make material changes, We will notify you through the platform, by WhatsApp, email, or by other means, to give you the opportunity to review the changes before they take effect.

If you do not agree with any changes, you may delete your Profile at the Event Hub. Continuing to use the Event Hub after We publish or send notice about changes constitutes acceptance of the updated Policy as of its effective date.
