Privacy Policy
Effective date: April 14th, 2026
Let’s Begin
Welcome to Planta. This Privacy Policy (“Policy”) explains how Planta handles your personal information when you use our platform, visit our website, or interact with us in any way.
This Policy applies to your relationship with Planta through your account. By creating an account or continuing to use Planta, you agree to the practices described in this Policy. If you are a Host certain sections of this Policy are applicable to you and your team.
If you are using an Event Hub powered by Planta — a highly customized experience designed for a specific Host and Event — a separate Privacy Policy applies to that experience. If you chose to join Planta from an Event Hub, this Policy governs your ongoing relationship with Planta from the moment you created your account. The Event Hub Terms and Event Hub Privacy Policy apply to that experience.
Any reference to the applicable Planta Terms of Service is made through the “Terms”.
Uma versão em português desta Política de Privacidade está disponível mediante solicitação: privacy@planta.network.
Who We Are
Planta (“Planta”, “We”, or “Planta Network”) is a discreet and relational network that proactively surfaces (re)connection opportunities that lead to impact at events and enjoying time in real life with people you care about.
What Will You Find Here?
A privacy policy is a document that explains how a company handles the personal information of the people who use its products. It’s required by law in most countries, and it’s your right to know what happens with your data.
In this Policy, you’ll find:
- What data We collect — what information Planta gathers about you, and where it comes from
- Why We use it — the purposes behind the processing
- Who else sees it — which third parties receive your data and why
- How long We keep it — when your data is deleted and what sticks around
- What you can do about it — your rights, how to opt out, and how to delete your account
We’ve tried to write this in plain language. Where a legal term is unavoidable, We explain it. If something isn’t clear, ask us — privacy@planta.network
1. Who Is Responsible for Your Data?
Planta is responsible for the data it collects, generates, and processes about you through the platform.
Depending on how you were invited to an Event and how the Event is structured, other parties — such as the Host — may also be responsible for certain data they collected and shared with us.
2. Data We Collect and How We Get It
2.1 Registration data
When you are invited to an Event, your registration data — submitted by the Host through the List — is shared with us. This may come from the Host, from a registration form where Planta is disclosed, or through external systems connected to Planta — such as registration and ticketing platforms, CRM tools, or marketing automation software. The data typically includes: full name, email address, phone number, job title, company name, LinkedIn profile URL, short bio (if provided), RSVP status, and responses to Event questionnaire fields, among others.
The Host can also share additional relevant inputs to support the design of a better Event experience, including strategic information and intelligence from past Events, among others.
The Host is responsible for sharing all this data lawfully and setting the purpose of processing by Planta.
2.2 From third-party enrichment providers
Using the registration data the Host shared with us, Planta enriches your Dossier (as defined in the Planta Terms of Service) through third-party providers. This enrichment may include publicly available professional information, professional network data, and company context.
2.3 From you directly
We collect information you provide through Planta, including:
- Conversations with Porter (as described in the Planta Terms of Service), including text and voice interactions. When you initiate a voice conversation, you are consenting to the processing and storage of the resulting conversation data.
- Updates to your Profile and preferences, such as contact details and communication channel selections.
- Your activity on Planta, such as browsing the Directory, requesting or accepting connections, and messages you include in connection requests.
All data collected from you is added to your Dossier.
2.4 Automatically (platform usage)
When you use Planta, We automatically collect technical and usage data to operate, secure, and improve the experience — such as your IP address, browser and device information, pages and features accessed, session activity, referring URLs, and approximate location derived from your IP address.
We may use service providers for application monitoring, analytics, customer support, session diagnostics, and engagement tracking. The tools and providers We use may change over time. A current list is available upon request at privacy@planta.network.
We use this data for product improvement and analytics. We may also use this data for audience development — where applicable law requires your prior consent for this use, We will obtain it; where applicable law provides you the right to opt out, you may do so by contacting privacy@planta.network. For details, see Section 10 — Cookies and Tracking.
2.5 When you contact us
If you reach out to us — by email, phone, chat, or any other channel — We collect whatever you share in that conversation (your name, contact details, and the content of your message). We use this to respond to your inquiry, troubleshoot issues, and improve our support. We may share this information with third-party providers that help us manage customer communications.
If you call us and We record the call, We will let you know and ask for your consent before recording begins.
2.6 When you visit our website
This section applies to anyone browsing planta.network, regardless of whether they have a Planta account.
When you visit our website, We may collect data through cookies and standard web technologies — such as visitor identification cookies, session cookies, and device cookies set by third-party providers, along with your IP address, browser type, pages visited, referring URL, and approximate location.
We may use this data for website improvement, marketing and advertising campaign measurement, audience segmentation, retargeting, and delivering relevant advertising on third-party platforms. We may introduce or change the tools We use over time, including analytics, performance monitoring, customer support, advertising pixels, or conversion tracking technologies.
Before activating any cookie or tracking technology that is not strictly necessary for the website, We will request your prior consent through a mechanism presented upon your visit. For details, see Section 10 — Cookies and Tracking. Where applicable law provides you the right to opt out, see Section 8.2.
We will not retroactively apply new tracking to data collected under a prior version of this Policy.
If you submit a form on our website (such as a contact form, demo request, or waitlist), We collect the information you provide — typically your name, email, company, and any message you include.
2.7 From other participants
We may receive information about you if another participant adds sends you a connection request, or mentions you in their preferences. This information is part of that participant’s Dossier and activity — it is visible only to them.
2.8 Prospects, demos, and sales conversations
If you are a prospective Host, partner, or contact exploring Planta, We may collect information about you from several sources — including information you share directly during sales conversations, demos, and evaluation calls (such as your name, email, company, role, and the content of the conversation), as well as information We gather from publicly available sources, professional networks, referrals, or CRM and prospecting tools as part of our outreach efforts.
We use this data to evaluate fit, prepare proposals, follow up, and develop our business relationships.
If your data is included in a demonstration or evaluation environment, it is processed solely for demonstration purposes. Demo data not converted through live engagement is deleted within 30 days of demo completion.
If We record a demo or sales call, We will let you know and ask for your consent before recording begins.
2.9 Host user accounts
If you are a Host using Planta to run Events, We collect the information necessary to operate your account — including your name, email, company, role, and your interactions with the Host dashboard and facilitation tools. This data is used to deliver the service, manage the commercial relationship, provide support, and improve the platform.
2.10 Cross-Event Profile
When available, your Dossier may be used to improve your experience at future Events. No Host ever sees your Dossier, including your private conversations with Porter, or your self-reported context from previous Events. The Host only receives the simplified outputs generated for their Event.
You can request that Planta stop using your Dossier at any time by contacting privacy@planta.network. When available, self-service options will also be offered. This does not affect your account or your Profile at Events where you have already engaged.
3. How We Use Your Data
Your Dossier. Your Dossier (as defined in the Planta Terms of Service) contains your complete history with Planta in full detail, including every Event you have participated in and your track record with us. All data described in Section 2 feeds into your Dossier.
Your Profile. From your Dossier, We generate your professional Profile. Your Profile is the curated, simplified version of your Dossier that is visible to other participants. We combine registration data, third-party enrichment, what you tell Porter and any Profile update you make, plus anything other relevant data point of the Dossier, to build and maintain it.
Connection opportunities. When enabled, We analyze your Dossier and/or Profile and your interactions with Planta to suggest people you may want to meet, and generate personalized Why Connect reasoning to help you understand why a connection might be valuable, including with each participant of the Directory.
Directory. When available, we make participant Profiles available in the Event Directory so you can browse who’s attending and explore additional connections.
Event facilitation. We provide the Host with support in the design of the Event experience, a dashboard with Event activity and connection insights, and when available, facilitation support and feedback from the Event Porter collects.
Platform improvement. We use your data to improve our systems, including matching and facilitation models. This may include aggregated and anonymized data as well as individual data. See Section 6 (Improving Planta) for details and how to opt out.
Analytics and audience development. We may use data collected through the platform and website to understand how people interact with Planta, measure and improve our marketing efforts, develop the product, and reach relevant audiences.
Security and compliance. We use your data to protect the platform against fraud and abuse, verify your identity when you exercise your rights, meet our legal obligations, and resolve disputes.
Keeping you in the loop. As the platform evolves, We may notify you about upcoming Planta-powered Events, new features, or opportunities to connect that may be relevant to your professional interests. If Planta introduces promotional communications in the future, they will be clearly identified as such and provide appropriate opt-out mechanisms.
For resolving any inquiry, request, or data subject right you may exercise, We collect your data as detailed in Section 2, to be able to process your request and comply with our Terms.
These purposes reflect Planta’s current capabilities and will evolve as the platform develops. Planta is an early-stage company actively developing the platform — some features described in this Policy may not yet be available or may change as the product matures. Any new purpose materially outside this scope will be disclosed before it is activated. For the legal basis applicable to each purpose, see Section 4.
4. Legal Bases for Processing
Different privacy laws require different justifications for processing personal data. This section explains ours.
Before you engage — enrichment, Profile building, and initial suggestions.
Planta assembles your professional background and generates preliminary connection opportunities before you interact with the platform, in your Dossier and through your Profile. The information We use for this is the kind typically found on a business card, a LinkedIn profile, or a conference badge — your name, job title, company, professional history, and similar business context. We do not collect or use sensitive personal information for this purpose. In addition, if you never use Planta, the information we gather together with the one shared by Host will only remain until the Event Directory is closed.
Legal basis: Legitimate interest — Planta’s interest in facilitating meaningful professional connections at Events, given the professional context of the data and the bounded, Event-specific scope of the processing. You can object to this processing at any time by contacting privacy@planta.network.
If Host has shared any other relevant data that is input during this part of the process, Host is responsible for legally sharing it.
After you engage — Porter interactions, Profile updates, and ongoing use.
Once you accept the Terms and begin interacting with Porter or the platform, the legal basis shifts to your consent. This covers everything that happens after you engage: Porter conversations, Profile updates, connection requests, and cross-Event Profile use.
You can withdraw consent at any time. Withdrawing consent does not affect the lawfulness of processing that happened before withdrawal.
Platform communications.
We may contact you to notify you of updates, new features, Events that may be relevant to you, or changes to our terms. These communications are part of delivering and improving the service.
Legal basis: Contract performance and legitimate interest. You can opt out of non-essential communications at any time.
Platform analytics, model improvement, and internal operations.
Legal basis: Legitimate interest — for platform analytics, debugging, security, and improving our matching and product models. This includes using data to understand usage patterns, improve the product experience, and develop new features. You can opt out of model improvement at any time (see Section 6).
Analytics, advertising, and audience development.
Where applicable law requires your prior consent for the use of identifiable data for marketing, advertising, or audience development (such as under GDPR or similar frameworks), We will obtain it before processing — typically through the cookie consent mechanism (see Section 10) or the preference center. Where applicable law provides you the right to opt out of this use (such as under CCPA or similar frameworks), you may do so at any time by contacting privacy@planta.network. Aggregated or anonymized analytics that do not identify you individually do not require consent.
5. Who We Share Your Data With
Core privacy principle. Across all sharing described in this section — whether with the Host, or other participants — the same rule applies: recipients only receive simplified, curated outputs generated by Planta. No one ever sees your Dossier, including private conversations with Porter, your self-reported context, your intake responses, or any sensitive information you share through Planta. This principle applies regardless of the recipient, the context, or across how many Events.
This does not apply to service providers we use to deliver Planta.
5.1 Other Participants
Your professional Profile is visible in the Event Directory — including your name, job title, company, and Profile summary. Contact details (such as email and phone number) are shared only after both parties accept a connection, except as otherwise settled with the Host. You choose how you want to be contacted.
The other participant will also see personalized Why Connect reasons to connect with you.
Participants who have not yet engaged with Planta are still included in the event directory while it is active, using the professional profile Planta assembled at the invitation.
5.2 Hosts
Through the Host dashboard. The Host receives simplified insights about Event activity and connections through the Planta dashboard. When available, the Host may also access connection insights, facilitation data, and feedback you provide about the Event — always in simplified form.
Event facilitation. Planta may also support the Host in the design of the Event experience, administering connection inputs, and managing Event logistics, among others. These actions shape Event facilitation but do not change the privacy boundary described above.
Across Events by the same Host. If you attend multiple Events organized by the same Host, the Host may access your data across those Events — subject to the same privacy boundaries. Even across Events, the Host only accesses simplified outputs.
5.3 Service Providers
Enrichment: Relevant data points are sent to third-party providers to retrieve professional and company context.
AI processing: Your data is processed by third-party AI providers to deliver Planta.
Messaging: Your phone number and message content are processed by messaging infrastructure providers, such as WhatsApp, to deliver messages and emails. We may use additional or different platforms.
Support: When you contact us (see Section 2.5), your inquiry and contact details may be shared with third-party providers that help us manage customer communications, support tickets, and call recording.
Storage and infrastructure: Your data is stored in cloud infrastructure including database, file storage, and caching layers. All storage providers are engaged under data processing agreements.
Monitoring and performance: We may share technical and usage data with service providers to monitor platform performance, diagnose issues, and analyze user sessions.
Analytics and product intelligence: We may share usage data with third-party analytics providers to understand how participants use Planta, measure engagement, track feature adoption, and improve the product. This data may be identifiable, aggregated, or anonymized depending on the tool and purpose.
Advertising and marketing: We may share data with advertising platforms, marketing tools, and audience targeting services to measure campaign effectiveness, build audience segments, support retargeting, and deliver relevant advertising on third-party platforms.
A full list of service providers is available upon request at privacy@planta.network.
5.4 Legal Disclosure
Planta may share your information if, in good faith, We consider it reasonably necessary to: (a) respond, under applicable law or regulations, to legal process or government requests; (b) enforce this Policy, the Terms, and other applicable terms and policies, including to investigate potential violations; (c) detect, investigate, prevent, or address fraud and other illegal activity, or technical or security issues; or (d) protect the rights, property, and safety of participants, Planta, or others.
5.5 Business Transfers
If We enter into a merger, acquisition, or sale, your data may be shared with the relevant parties to the extent necessary to complete the transaction. We may also share your information with an affiliate of Planta.
6. Improving Planta
Planta may use your data to improve its platform and services, including to train its algorithms and improve its intelligence systems. You can opt out of this use at any time by contacting privacy@planta.network or through self-service options when available. Opting out does not affect your access to the service.
7. Data Retention
7.1 While you’re active
Your information is retained as long as you have an active account with us. The longer you use Planta, the better it gets — your Profile, connections, and history compound over time.
7.2 What you can delete
You’re in control. You can delete your entire account and Dossier, remove your presence from a specific Event, request that Planta stop using your prior history for future Events, or erase specific pieces of information — by contacting privacy@planta.network. Self-service options through the platform may also be available.
7.3 What may remain after deletion
Even after you delete your account, some information you shared with others — such as introduction messages, connection records visible to the other party, or content shared in conversations — may remain visible to them. We cannot control data that other users have already received. Planta may also retain an archived backup of your data for a limited period for operational recovery and legal evidence purposes. Aggregated, non-identifiable insights derived from your use of the platform are retained independently and are not affected by deletion requests — they are not personal data.
7.4 If you go quiet
If your account has been inactive for an extended period, We may delete it. Planta currently considers accounts inactive after 36 months with no engagement.
7.5 Prospect and demo data
If you are a prospect or your data was included in a demo environment, your data is deleted within 30 days of demo completion unless you subsequently engage with Planta through a live Event.
8. Your Data Rights
8.1 Everyone
Regardless of where you are, you can always:
- Access your personal data — request a copy of what We hold about you
- Correct your data — update or fix inaccuracies by contacting us or through the platform when self-service options are available
- Delete your account and data — by contacting privacy@planta.network. Self-service options through the platform may also be available
- Object to or limit use of your data — ask us to stop or limit processing in certain circumstances
- Portability — request your data in a structured, machine-readable format
- Edit your Profile and adjust your preferences at any time
- Stop WhatsApp communications by replying STOP or any similar opt-out word to any message. This will limit your access to Planta but does not delete your account
- Ask how your Profile and suggestions were generated, and request human review of any AI-generated output
To exercise any right, contact privacy@planta.network. We may need to verify your identity before processing your request. You may also designate an authorized agent to act on your behalf.
8.2 US residents
If you live in a US state with a comprehensive privacy law (such as California), you may also have the right to: know what personal information We have collected, used, disclosed, or shared about you; opt out of sale or sharing of your personal information; limit use of sensitive personal information; and not be discriminated against for exercising your rights.
Do Not Sell or Share My Personal Information. As part of delivering the service, Planta provides Hosts with Event-related insights derived from your data. We may also share data with advertising and marketing platforms. Regardless of how these activities are characterized under applicable law, you can opt out by contacting privacy@planta.network or using the preference center when available. We will process your request within 15 business days. Opting out does not affect your access to core services.
8.3 EU and UK residents
If the GDPR or UK GDPR applies, you may also have the right to: rectification, erasure, restriction of processing, objection to processing based on legitimate interest, data portability, withdrawal of consent at any time, and lodging a complaint with your local data protection authority.
8.4 Other jurisdictions
If you live in a country or region with its own data protection laws (such as Argentina, Brazil, others), you may have similar rights under your local law. Contact privacy@planta.network and We will work with you to address your request in accordance with applicable law.
Planta will respond to requests no later than 15 days for Brazilian residents and 30 days for all others.
9. Security
We implement technical and organizational security measures appropriate to our stage of development, including encrypted connections (HTTPS/TLS), encrypted storage, and role-based access controls.
No internet system is completely secure. Use of the platform constitutes acceptance that some residual risk exists.
In the event of a confirmed security breach affecting your data, We will notify you and relevant authorities without undue delay and in any case no later than 72 hours after becoming aware of the breach.
10. Cookies and Tracking
10.1 Essential cookies
We use essential cookies to keep you logged in and remember where you are in the experience. These are required for the platform to work and do not require consent.
10.2 Non-essential cookies and tracking technologies
As the platform and website evolve, We may use additional cookies and tracking technologies for purposes such as performance and analytics, session recording, engagement and funnel tracking, customer support, and marketing and advertising.
When these tools are activated, they may collect identifiable session data and may set cookies on your device.
10.3 Consent
Planta applies an opt-in consent standard globally. Before activating any cookie or tracking technology that is not strictly necessary — on both the platform and the website — We will request your prior consent through a consent mechanism presented before collection begins. You can grant or withdraw consent at any time.
Declining non-essential cookies does not affect your access to core services or your ability to browse the website.
We do not respond to “Do Not Track” browser signals.
11. AI
Planta is powered by AI throughout the experience.
Your options: You can edit your Profile at any time. You may accept or ignore any connection suggestion. You may request human review of any AI-generated output by contacting privacy@planta.network.
AI providers. We use third-party AI providers to deliver AI features. Each provider operates under its own terms, privacy policies, and data retention practices. A current list is available upon request at privacy@planta.network.
Human oversight. Planta maintains a level of human supervision over AI-generated outputs to help assure the quality of connections and facilitation support. Planta’s team may review, adjust, or override AI-generated outputs in certain cases as part of supporting the design and delivery of the Event experience. If you believe an AI-generated output has had a significant effect on you, contact privacy@planta.network and We will review your case with human involvement.
Voice. When available, Porter interactions may include voice calls. By initiating a voice interaction with Porter, you consent to the processing and storage of the resulting conversation data.
12. Children & Legal Capacity
You must be at least 18 years old and have the legal capacity to enter into a binding agreement in your jurisdiction. By using Planta, you confirm that both conditions are met. We do not knowingly collect data from minors. If We learn a participant is under 18, We will delete their data and terminate their access promptly. If you believe a minor has used the platform, notify us at privacy@planta.network.
13. Third-Party Links
The platform may contain links to third-party websites or services that are not operated by Planta. If you follow a link to any third-party site, that site’s own privacy policy applies. We have no control over and are not responsible for the privacy practices of third parties.
14. Governing Law and Disputes
This Policy is governed by the laws of the State of Delaware, United States, as well as other applicable privacy laws where you are located. If you are in a jurisdiction with mandatory consumer or data protection laws, those laws apply and are not displaced by this clause. You may contact your local authority too.
For dispute resolution procedures, including good-faith resolution, jurisdiction, and class action waiver, see the Terms.
15. Changes to This Policy
We may amend this Policy from time to time. If We make material changes, We will notify you through the platform, by WhatsApp, email, or by other means, to give you the opportunity to review the changes before they take effect.
If you do not agree with any changes, you may delete your account. Continuing to use Planta after We publish or send notice about changes constitutes acceptance of the updated Policy as of its effective date.
